Hello Everyone! I think that most, if not all of us, have heard the phrase “failing to plan, is planning to fail.” This choice, because it is our choice to either plan or react, is the number one reason business owner’s waste time, energy and money. When we choose to not plan our day, we tend to become reactive and distracted, diminishing our productivity and the revenue that we could have generated.
I was working with Dr. Dave’s office and his office manager, Susan. Susan expressed that she feels like she spends all of her time running around the office, putting fires out. She leaves exhausted and frustrated every day. She has a daily to-do list and tries to follow it but she’s always reacting to the small fires. So, how does Susan, and all of us for that matter, stop being firefighters and embrace our role in the office?
Although a daily to-do list is a start, and Susan had a daily plan to follow, we recommend planning a three day arc. By looking at a three day period – and the meetings, deadlines, patients and other demands on your time – you can make better decisions when surprises or emergencies arise. A three day plan also gives you a clearer idea of when you can postpone activities without overbooking your future. Spend at least a few minutes each day updating your three day plan. When Susan implemented the three day arc she had tremendous results. She was able to manage her time better and got herself out of the reactive mode. She would simply shift, add, subtract and move items from her plan into more appropriate time slots. She left feeling accomplished and stopped chasing fires.
So, your action step this week is to implement the three day arc into your planning routine. The key is to re-visit your plan often. As your schedule gets updated, communicate those changes either verbally or through electronic inter-office messaging. You’ll enjoy the same fulfillment and success as Dr. Dave’s office!
